Patient forms

How do we create a form that can be electronically signed by the patient?

You can create a signable form using our patient forms feature. As you’re constructing the form, select the “Patient Signature” question type from the dropdown menu.

Once a patient has filled out the electronic form, how does our office copy their responses into different areas of the chart?

After the patient submits their responses, you will see the form as a report under the Outstanding Items section of their chart. When you click to open this report, you will have the ability to select responses and export them to the Clinical Profile and/or a visit note draft. Note: This export step is NOT required. If you don’t wish to copy their responses anywhere, simply sign off on the report and the form will get filed into the chart’s Chronological Record.

How do I transfer lab results from a lab report into a visit note?

To export discrete test results from a lab report into a visit note:
  1. Open the lab report in the patient’s chart.
  2. Hover your mouse of the test name whose results that you want to export.
  3. Click the Actions menu that appears to the right of the test name.
  4. Select one of the “Export to Note” options.

How do I create a template for a common procedure that I perform?

You can use our visit note template feature to create a template for your procedure. For procedures, practices typically add the procedure’s description and details to the ‘Data’ section of the note. If there are billing codes that you’d like to include, you can add them to the bottom of the template. Then, when you export the template into your draft note, the content that you built into the template will automatically appear.

Is it possible to design a template that pulls patient-specific details (like name, DOB, and sex) into the visit note?

No, currently there isn’t a way to create a template with these types of variables. We recommend leaving space in the template with the underscore key (ex. _____) or brackets (ex. [ ]) to remind the user to fill this information in. You can use more general language like “the patient” rather than specific pronouns.

Is there a way to undo a deletion from my visit note draft if I clicked the X button?

No, if you click the ‘X’ button to remove a section of text from the visit note, there isn’t a way to undo this action.

How do I attach patient education/a handout to my visit note?

  1. Open your visit note.
  2. Click the “Handouts” button at the top of the chart.
  3. In the pop-up window, select the handout that you would like to include. (If you don’t see a handout that you need but have a file of it on your computer, you can upload the file to Elation so that your practice can access it. To do so, scroll to the bottom of the pop-up window and click ‘Upload File’)
  4. Upon clicking the handout name, a preview of it will open in a new tab. Close this preview tab.
  5. In the visit note, you’ll see a link to the handout appear under Care Plan.

Scheduling

How do I create two overlapping appointments? (i.e. double book for the same/similar time)

On the right side of each appointment, you’ll see a space on the calendar that you can click to insert another appointment for the same time. Alternatively, you can click the ‘+ Appointment’ button at the top of the calendar and input the date and time for the appointment manually.

How do I connect my Google calendar with my Elation calendar?

Please use these instructions to set up Google sync.

Am I able to modify the list of appointment statuses that appear in Elation? (ex. Checked in, In room, Checked out)

No, there isn’t a way to customize appointment statuses at this time.

Patient communication

How do I send the patient a copy of something from their chart?

Elation’s Patient Passport feature allows you to send messages and attachments to your patients via a secure portal. Follow these instructions to learn how to send a letter and attachment to your patient via Patient Passport.

How do I share a copy of the Elation invoice from a visit with my patient?

The invoice generated from an Elation visit note cannot be directly attached to a Patient Letter. However as a workaround, you can follow the steps below to download the invoice as a PDF and upload it back to the chart as a Report.
  1. Locate the visit note in your Chronological Record.
  2. In the upper right hand corner, click “Actions” and under the Print section, choose the type of invoice that you’d like to print.
  3. When the print preview appears, change the Destination to “Save as PDF” and save the file to your computer.
  4. Locate the file on your computer and click-and-drag the file over the patient’s chart to upload it as a Report.
  5. Once the invoice is saved in the chart as a Report, you’ll be able to attach it to a Patient Letter.

How do I send a mass-message to patients about an upcoming event?

You can use our bulk letter feature to send the same letter to multiple patients via Patient Passport. There isn’t a way to send a mass email from Elation because email is not secure.

External communication

How do I send a copy of the patient visit to an insurance company for prior authorization?

  1. Open the patient’s chart and click “Letter > To Provider”.
  2. Type the insurance company’s fax number in the “To” field. If prompted to save the number, you can optionally do so.
  3. Type a message to the insurance company in the Body.
  4. Towards the bottom of the page, click “Select Chart Items to Attach” and find the visit note that you’re trying to share.
  5. Important: In the yellow banner at the bottom of the letter, if you see a checkbox regarding whether you want to fax the attachments, make sure you select this checkbox.
  6. Click “Sign and Send”.

How do I prevent recipients of my Referrals and Provider Letters from having full access to the patient’s chart when they sign into Elation Connect?

When someone logs into Elation Connect to view your Referral or Provider Letter, they ONLY see what you’ve attached to the referral/letter that you sent them. In other words, unless you have attached everything from the patient’s chart to the referral/letter, the recipient will not have access to these records.
