Each month, Elation will compile the most frequently asked questions from Elation customers through our different customer interactions and Office Hours and share the questions and answers with our customers. We hope to broaden our customers’ knowledge of our amazing features and share best practice workflows. The questions from June 2024 can be divided into the following categories:

Faxing

How do I add a new contact to my directory for sending faxes?

To add a new contact to the directory for sending faxes:
  1. Open a patient’s chart.
  2. Click on the “Referral” or “Letter (to Provider)” button in the gray navigation bar.
  3. Type in the name of the Contact (ex. John Doe) and then hit the “Tab” key on your keyboard OR click into the “Subject” or “Body” of the Letter.
  4. Click on the “Add Details” button that now appears to the right of the name.
  5. Choose whether the contact is an “Individual” or “Organization” and then fill out their contact information. Most importantly, enter their Phone Number, Fax Number and Email if you have this information to facilitate contact.
  6. Once you have entered in all of the contacts’ details, click “Save” and the Contact will now show up in your Contact List when you write Letters or Referrals.

Can I fax an imaging order from Elation to the Imaging Center?

Yes, you can fax an imaging order from Elation to the Imaging Center. To fax an imaging order from Elation:
  1. Locate the imaging order that you’d like to send in your patient’s chart. Hover over the imaging order, and click “Actions” -> “Provider Letter”.
  2. In the “To” field, type the fax number of the Imaging Center.
  • If this is an Imaging Center you will fax to often, you can save them as a contact by following the instructions in this article.
  1. Type a subject and message to the Imaging Center as needed.
  2. Next, click on “Select Chart Items to Attach”.
  3. Check the checkbox for ‘Patient Demographics’ and then click “Attach Items”.
  4. At the bottom of the letter, check the checkbox for ‘Also fax copies of attachments’.
  5. Click “Sign & Send” to fax the imaging order to the Imaging Center.

Patient Passport

How do I share the passport invitation code with my patient?

Passport invitations are sent to the email on file in the patient’s chart. When patients click “Register for Passport” from their Passport invitation, Elation will immediately send a text message with the passport invite code to the mobile number on file in the patient’s chart. If the patient calls your office for the invitation code, you can follow these instructions to retrieve the invite code from the patient’s code:
  1. Open the patient’s chart.
  2. Click on the “Passport” (globe) button at the top of the patient’s chart
  3. Click “details” to find the invitation code.

How do patient’s upload their medical records via Patient Passport?

Patients can upload medical records through Patient Passport when initiating a new message to your practice. This is because patients can only attach documents to new messages. Patients cannot attach documents to replies to existing messages. For patients to upload their medical records via their Patient Passport account:
  1. Click the “New Message” button when logged in via a browser (or press the ‘draft’ button when logged in via the Passport mobile application).
  2. Click “Add Attachment” (or press the ‘paperclip’ button when logged in via the Passport mobile application).
  3. Select the medical records from their computer (or take photos or documents from the library when logged in via the Passport mobile application).
  4. Click the “Send” button to send the message and attachments.

Scheduling

We are a multi-Provider practice but not all Providers work on all days. How can I only see the calendar for Providers who are working on a given day?

A feature you can use to only show available providers in the expanded calendar view is the User Groups feature. Here is what the set up could look like:
  1. Let’s say only Provider A, Provider B and Provider C work on Mondays. First, create a User Group that only has Provider A, Provider B and Provider C and name the User Group ‘Monday Providers’ or anything similar.
  2. Next, click the “Expand” button at the top of the Elation Calendar.
  3. Then click “All Providers” in the expanded calendar view.
  4. Then, each Monday, in the dropdown at the top of the calendar, click on the name of the ‘Monday Providers’ User Group. This will allow you to only see the Providers that work on Mondays.
  5. Repeat step 1 for each day of the week until you have grouped all the Providers by the days they work each week.
