To support the importance of promoting and prioritizing interoperability and exchange of patient immunization data across various healthcare platforms, Elation has established an electronic interface with the District of Columbia Immunization Registry known as DOCIIS.
What is the DOCIIS Immunization Registry Interface?
The DOCIIS Immunization Registry Interface allows connected practices to
send
vaccination information from their Elation EHR directly to DOCIIS; District of Columbia Immunization Information System.
Why is the DOCIIS Immunization Registry Interface valuable?
With the DOCIIS Immunization Registry Interface, practices no longer need to separately log in to DOCIIS to enter vaccination records for their patients. Once the vaccination is recorded in Elation during the patient encounter, the information can be sent immediately from the patient’s chart in Elation to DOCIIS. This interface saves you time and allows you to streamline your vaccination workflows.
How to establish interface between Elation & DOCIIS
The Elation Team will assist you with initiating an interface with DOCIIS. To notify us of your interest,
- Click here to fill out our contact form
- Select “I am a provider or staff member who uses Elation” for What is your role?
- Select “Something else” for Select an issue
- Enter the following information in the Details field:
- Which Immunization Registry would you like to connect to?
- Is your practice a VFC and/or COVID vaccine provider? If so, please provide the facility PIN.
- Is your facility part of a larger organization? If so, please share the name of the organization and the organization address.
- Who is your primary clinical contact and what is their title, phone number, and email?
- Who is an alternate clinical contact if the primary contact is not available?
- Who is overseeing data entry for your practice and what is their title, phone number, and email?
- Do you have multiple locations (“branch facilities” administering vaccines? If so, what are the facilities and their addresses?
- Will all vaccine inventory be stored at, managed at, and shipped to one central location?
- Will vaccines be transferred from a central location to branch facilities?
- Will your facility have mobile clinics? If so, will mobile clinics manage/store/order their own vaccine inventory, separate from the main facility location?
- How frequently is your facility administering vaccines throughout the week?
- What is your weekly vaccination throughput (i.e. how many are you vaccinating in one week)?
- Are there particular days of the week that your facility administers vaccines (e.g. only on Monday and Wednesday)?
- Do you have periodic large vaccination clinics (e.g. three events throughout the year, located in different locations in the community)?
- Are you administering COVID-19 vaccines only, routine/other vaccines only, or both COVID-19 and routine vaccines?
- Does your facility document vaccines directly into an EHR during or shortly after patient visits, or does your facility use paper copies that are backlogged/entered into the electronic medical record system? DC Health will assess providers’ capabilities to report vaccines to DOCIIS within 24 hours after administration.
- Click “Next”.
- Click “No, I still need help” in the next window.
- Click “Next”.

How to send vaccination data to DOCIIS using Elation
You will use the Vaccine Form in the patient’s chart to document the vaccination data and submit the data to DOCIIS. Learn more about how to use the Vaccine Form using the
Vaccination Documentation Guide
.
All submissions are one-time only. If you need to edit any vaccination data after it is sent to the Immunization Registry, you will need to update the data in both the patient’s chart and the Immunization Registry directly.
Frequently Asked Questions (FAQ)
Can I retrieve immunization history from DOCIIS in Elation?
You can only send vaccination history from Elation to DOCIIS using this current interface. In the future Elation will work with DOCIIS to also allow you to retrieve immunization history from DOCIIS.
How can I tell if the vaccination record was successfully submitted to the immunization registry?
You can log into your State’s registry to review vaccination records submitted from Elation to the registry through the interface from time to time. If you have questions about a specific vaccination record,
please send the patient ID and the name of the immunization to the Support Team
and we can look into the vaccination record.
How can I edit or delete a vaccination record from the registry using Elation?
At this time, vaccination records submitted through Elation can only be edited or deleted within the registry. If you do make a change to or delete the vaccination record in the registry, we also recommend making the same change in Elation.
