What are custom reports?

Custom reports are reports for EHR data that is not available within the existing Reporting options provided by the Elation application. Custom reports are generated in the backend by our Data Services Team and will come with a fee that is dependent on the requirements and complexity of the reporting needs. Existing free Reporting options are as follows and these reports are all available within the Reports dropdown at the top of your Elation account:
  • Patient List Report
  • Appointment Report
  • Billing Home
  • Patient Payment Report
  • Membership Report
Ad-hoc aggregations, counts, and summaries across clinical data domains — such as medications prescribed, referrals sent, immunizations administered, problem/diagnosis lists, lab orders, or patient documents — are not available as built-in reports in Elation. Reporting on this data requires either the Hosted Database (self-serve, for customers with that add-on) or a custom report request (described below).

How does the custom report process work?

Elation’s Data Services Team will review each and every request to determine whether or not such a report can be made available. If a report can be made available, Elation will offer a quote on the cost for the service. Customers can review the cost and timeframe for delivery and then sign a Statement of Work if they would like to use this service. The report will then be delivered to the customer securely within the agreed upon time frame.
Elation cannot guarantee delivery of every requested report.

How do I request custom reports?

To request a custom report, use the I need help -> Contact Elation Support option and send the following details to the Support Team:
  1. Preferred contact Name & Email Address
  2. What is the business purpose of the report you are requesting?
  3. What information do you need included in your report? (Ex. Patient’s Name, Date of Birth, Full Address, etc)
  4. Do you require this report one time, or is this something you will need on a recurring basis?
An Elation Team member will follow up with you within 10 business days about your request.

How will custom reports be delivered to me?

Custom reports will be delivered securely to the preferred contact listed in the request. The preferred contact will have 7 days to download the report from the secure link provided.

How do I know if a report I need exists in Elation?

Use these steps to figure out whether the data you need is available in a built-in report, through the Hosted Database, or only through a custom report request:
  1. Check the standard reports first. The free in-app reports listed above cover patient demographics and panel filtering (Patient List), appointments (Appointment Report), billing and payments (Billing Home, Patient Payments), and membership (Membership Management). Those reporting for MIPS can also use the Clinical Quality Measure and Promoting Interoperability reports. Premium EHR users can also use productivity reports to check on practice performance.
  2. If your need falls outside those domains, it likely is not a built-in report. Common examples include medications prescribed over a date range, outgoing referrals, immunizations administered, problem/diagnosis lists, lab orders, patient documents, structured history data, or any custom date-range aggregation not exposed in the Elation UI.
  3. Hosted Database (HDB) customers have a self-serve option. If your practice has the Hosted Database add-on, many clinical data exports — including Medication Orders, Lab Orders, and Lab Results — are available as queries you can run yourself. Check the HDB common queries before submitting a custom report request.
  4. Otherwise, submit a custom report request. Use the request flow described in How do I request custom reports? above. The Data Services Team will confirm whether the report can be produced and provide a quote.

What are the kinds of reports I can request?

Customers usually request reports that are tied to their patient data and can include, but are not limited to: full demographics exports, appointments, medications prescribed, outgoing referrals, patient documents, problem diagnosis, immunizations, medical/surgical/family/social histories, etc. If you have a particular report in mind, do not hesitate to send in a request and our Data Services Team will provide you with feedback on whether or not the request report can be made available.

How long will it take for us to receive the requested report?

The request will be reviewed within 10 business days. A Statement of Work will be provided if Elation is able to supply the requested report. The Statement of Work will come with a timeframe of when the report will be delivered. The timeframe is dependent upon the complexity of the requested report. The average timeframe for delivery of the report is 5 business days from when the Statement of Work is signed.
