What reporting is available for membership subscriptions?
Utilize the Membership Report to view all of your patients enrolled in a membership. The report contains useful information about the patient, plan, enrollment and billing statuses, and more. The Patient Payment Report tracks the actual payments made against membership subscriptions.Workflow Instructions
Accessing the memberships report
To access the memberships report, go to Reports → Membership Report.Filtering the Membership Report
By default, all patients enrolled in membership plans will be shown, regardless of the status of their membership. Filters can be used individually or in combination to find specific patients based on the plan they are enrolled in, the status of their membership, and/or the patient’s name.- The membership plan dropdown lets you filter for specific plans.
- The status dropdown filter lets you filter by a specific plan status. Available statuses include Active, Past Due, Paused, ACH Processing, and ACH Verification Pending.
- ACH Processing: Payment was initiated via ACH and is settling (typically takes 1–10 business days). This is not an indication that the payment failed.
- ACH Verification Pending: Patient used manual bank entry and has not yet confirmed microdeposits.
- The patient name filter lets you narrow down the report to a specific patient.
Editing the columns of the Membership Report
By default, a subset of the full list of available data columns will be shown on the report. Click Edit Columns to specify which data columns you want to see in the report.Actioning on membership enrollments
Click the … button in the Actions column next to any enrollment to perform any of the following actions:- Edit the plan.
- Pause/resume the membership subscription.
- Unenroll patient/group from a membership plan.
- See payments tied to a given patient.
- This will open the Patient Payment report filtered for the selected patient.
Downloading membership enrollment data
Click Download CSV to obtain a file with membership enrollment data. The filters applied to the report at the time the download button was clicked will be reflected in the CSV file. Note: Column selections made via Edit Columns are not reflected in the CSV export — the downloaded file uses a default set of columns regardless of which columns are visible in the report.Updating a patient’s payment method for membership renewals
When a patient needs to update their payment method (e.g. connect a new bank account (ACH)) before or at their next membership renewal, you have two options.Option 1: Send a payment info request to the patient before the renewal date

Request payment information
Open the patient’s demographics and click Request payment info → Send Request. The patient receives an email prompting them to add payment details.

Patient opens their payment details page
The patient clicks Add Payment Details in the email to open their payment details in a browser.

Patient adds new payment method
The patient clicks + New payment method, fills in their billing information, and enters information about their new payment card or selects US bank account to connect their bank account for ACH payments.
- If the patient chooses US bank account, they can search for their bank and follow the prompts to log in and authenticate through their bank’s secure connection flow.
- Patients can also enter their bank account details manually, then wait to receive a microdeposit from Stripe and verify it via a confirmation email. This method takes longer than logging in directly through their bank account and is generally not recommended.

Patient saves new payment method and sets as primary
The patient clicks Save to save their new payment method on file. Afterwards, if they want to specify their new payment method as the primary payment method on file, they can click Edit next to the newly added payment method, check Make this my primary payment method, and click Save.
The ‘primary’ payment method is only a designation if the patient already has a different payment method tied to their membership subscription. The patient (or your practice) would need to separately update the payment method associated with the membership subscription to the new ‘primary’ payment method.

Update the membership enrollment
- Go to the patient’s demographics and navigate to the Membership Information section.
- Click Edit, confirm Charge a payment method on file is selected, choose the new primary payment method, and click Update Enrollment.
- Elation will charge the new payment method on the next renewal date.
Option 2: Wait for the renewal date

Elation sends the renewal reminder
On the renewal date, Elation automatically sends the patient an email or text with the charge amount and a link to their payment details.If the patient receives an email, the subject line will read [Practice Name]: Payment summary for pending charge or You have an outstanding payment at [Practice Name].

Patient opens their payment details page
The patient clicks the link in the message — which may read Update payment method, Manage payment methods, or Pay Now — to open their payment details in a browser.

Patient adds new payment method
The patient clicks + New payment method, fills in their billing information, and enters information about their new payment card or selects US bank account to connect their bank account for ACH payments.

Patient saves and applies the new payment method to their membership renewal
The patient clicks Save, then selects the newly added payment method and clicks Use selected payment method to apply it to the pending subscription charge.

Patient sets new payment method as primary payment method
The patient clicks Edit next to the newly added payment method, checks Make this my primary payment method, and clicks Save. Elation will charge the bank account on the renewal date.
