Overview

How do membership plans work?

With Elation’s membership management functionality, you can create an unlimited number of custom patient membership plans. Each plan you make will have a specific billing amount and frequency. This flexibility allows you to create unique offerings to support all your patients. In this guide, you’ll discover how to create, name, and set the rules for these membership plans, as well as how to manage them. Afterwards, you can enroll patients in their appropriate plan(s).

Workflow Instructions

Creating a membership plan

Click SettingsMembership Management.

Click + Create a Plan.

Fill in the following details:
  • Plan Name — Assign a unique name that is only visible to your practice and not patients.
  • Display Name — Assign a patient-facing name that will be used in patient communications. Avoid entering any PHI in the display name.
  • Description (optional) — Enter an internal description about the membership plan.
  • Billing Amount — Specify the amount that will be invoiced or charged to the patient based on the Billing Frequency.
  • Billing Frequency — Specify how often the patient will be charged the Billing Amount. Select from annually, semi-annually, quarterly, or monthly.
  • Payment reason — Specify a payment reason that appears on the receipt and payment. The default payment reason is Membership fee - medical services.

Click Create plan.
Double-check the billing frequency before you create the plan. If you set the wrong frequency (for example, annually when you meant monthly) and only correct it after patients enroll, those existing patients will keep the renewal date they were originally scheduled for — see Editing a membership plan for what happens and how to fix it.

Editing a membership plan

Click SettingsMembership Management.

Click Edit next to the plan you want to edit.

Make changes and click either Update plan to save the changes, or click Close to cancel.
If changes are made to the billing amount or billing frequency, patients will be updated about the change.If changes are made to the billing amount, all patients enrolled in that plan that do NOT have an override amount set to their subscription will automatically be charged the updated amount on their renewal date.
Changing the billing frequency does not reschedule patients already enrolled in the plan. Patients already enrolled keep the next renewal date they were originally scheduled for. Only patients enrolled after the change bill on the new frequency.This matters most when a plan was created with the wrong frequency. For example, if a plan was set up as annually and later corrected to monthly, patients enrolled under the annual setting keep their annual renewal date — Elation will not charge them again until that date arrives, up to a year later, and no error or warning is shown.After changing the billing frequency, open the Membership Report and review the next renewal date for each patient enrolled in the plan. To move a patient’s renewal, edit their subscription from the patient’s DemographicsInsurance, Payment & Membership section, click Override next to Next renewal date, and enter the new date — see Editing a patient’s membership plan.

Deleting a membership plan

Click SettingsMembership Management.

Click Delete next to the plan you want to delete.

Click Delete to confirm. All patients enrolled in that plan will become unenrolled immediately. No notification is sent to patients at the time of unenrollment.
