What delete permissions are available in Elation EHR?

By default,
  • any user can delete any document within a patient’s chart.
  • any user can modify demographics or clinical profile information within a patient’s chart.
  • only Admin Level Users can modify certain Settings if that Settings page is configured for Admin Only. If that Settings page is not configured for Admin Only then any user can modify those Settings.
Elation offers two Premium EHR tiers for restricting document deletion. Both tiers leave demographics, clinical profile, and Settings unaffected.

How to configure delete permissions

Delete permission controls are Elation Premium EHR offerings that take effect as soon as the feature is enabled. Standard delete permissions

Once standard delete permissions are enabled:
  • Only Provider Level Users and Admin Level Users can delete documents within a patient’s chart.
  • All other users can only delete documents they created themselves that are not yet signed. If a non-Provider or non-Admin user attempts to delete a document they did not create, or one that is already signed, they will see an alert error message that prevents the deletion.

Strict delete permissions

Strict delete permissions apply a higher level of control. Once enabled:
  • Only Admin Level Users can delete any document within a patient’s chart.
  • Provider Level Users and all other non-admin users can only delete documents they created themselves that are not yet signed. Attempting to delete any other document will trigger an alert error message.
  • Non-admin users are also blocked from deleting patient charts. Only Admin Level Users can delete a patient chart when this feature is enabled.

What is considered a ‘document’ in the patient’s chart?

A document is any type of information that is filed or saved to a patient’s Chronological Record. Common examples include Orders, Visit Notes, and Patient Letters.

Does either delete permission tier prevent users from editing demographics or clinical profile information?

No. Neither tier affects the ability to edit demographics or clinical profile information.

What is the difference between standard and strict delete permissions?

With standard delete permissions, Provider Level Users retain the ability to delete any document. With strict delete permissions, Providers are subject to the same restriction as non-admin staff — they can only delete their own unsigned documents. Strict delete permissions also prevent non-admin users from deleting patient charts, which standard delete permissions do not restrict.

I should be allowed to delete documents, what should I do?

Consult with an Admin Level User in your practice to verify your role and whether you should have expanded delete access. Admins can request a change to your permissions by contacting Elation Support.

Can both tiers be enabled at the same time?

No. Only one tier can be active for a practice at a time. Contact Elation Support if you need to switch between tiers.
