What is Weave?

Weave is a cloud-based patient communication platform. It brings together a phone system, texting, email, digital forms, appointment reminders, and review requests in one workspace for your front office.

What is the Elation-Weave integration?

The Elation-Weave integration connects your Elation schedule and patient list to Weave. Weave uses this data to send appointment reminders, display patient information during incoming calls, and run other schedule-based messaging. When a patient confirms an appointment through a Weave reminder, or your staff confirms or cancels an appointment in Weave, the appointment status updates in Elation. Elation remains your system of record. You keep scheduling and managing patients in Elation, and Weave stays up to date automatically.

What are the benefits of the Elation-Weave integration?

  • No more manual uploads. You no longer need to export patient or appointment lists from Elation and upload CSV files into Weave.
  • Fewer no-shows. Weave sends automated appointment reminders based on your Elation schedule, and patients can confirm by text.
  • Confirmations flow back to Elation. When a patient confirms, you see it on the appointment in Elation without re-entering it.
  • Patient context on every call. Weave’s call pop shows the caller’s patient and appointment information to your front desk staff.
  • Two-way texting and email. Message patients from Weave using the contact information in Elation, including automated birthday messages.
  • Review requests. Weave can automatically text patients after their appointment asking them to leave a review.

What data syncs between Elation and Weave

Sync direction

Sync frequency

Patients

Patient demographics sync in one direction, from Elation to Weave. When the integration is first turned on, Weave loads the patients for your practice. After that, Weave picks up new patients and changes to existing patients about every 15 minutes.
Changes you make to a patient’s information in Weave (for example, a phone number or email) do not sync back to Elation. Always update patient demographics in Elation, and Weave will reflect the change within about 15 minutes.

Appointments

Appointments are created and managed in Elation and sync to Weave about every 15 minutes. When the integration is first turned on, Weave loads your upcoming appointments. The only appointment changes that sync from Weave back to Elation are confirmations and cancellations. These updates appear on the Elation schedule in near real-time:
If a patient replies to a reminder asking to cancel, the appointment is not cancelled automatically. Have your staff cancel it, either in Elation or by marking it Canceled in the Weave schedule.

How appointment statuses appear in Weave

Weave shows each appointment’s status based on its status in Elation: Weave also has an Attempted status, which has no matching status in Elation and does not sync.
Weave’s confirmation tools are designed to move an appointment from Unconfirmed to Confirmed. To change an appointment to any other status, such as Checked In or Not Seen, update it in Elation.
Other changes made in Weave, such as a new time, a different provider, or a different appointment type, do not sync back to Elation.
To reschedule an appointment, change its provider, or change its type, make the change in Elation. Weave will reflect it within about 15 minutes.
Only appointments sync to Weave. Calendar blockers and other non-appointment time slots on your Elation schedule do not appear in Weave.

What isn’t included in the integration

The following do not sync between Elation and Weave:
  • Insurance details, and household or responsible party links
  • Patient photos, recalls, recall types, and automated recall reminders
  • Weave “Save the Date” reminders
  • Financial data, such as balances, aging, and collections
  • Text message conversation history (Weave texts are not logged in Elation)
  • Other writebacks to Elation, including calendar availability, referral sources, forms, medical history, demographics, and new patients created in Weave

Setting up the Elation-Weave integration

1. Obtaining a Weave account

To use the Elation-Weave integration, your practice needs an active Weave account.
  • If you do not have a Weave account yet, visit getweave.com or email sales@getweave.com to get started.
  • If your practice already uses Weave, move on to the next step.

2. Requesting the Elation-Weave integration

  1. Email integrations@elationhealth.com to authorize connecting your Elation account to Weave. Include:
    • Your practice name
    • Your practice’s primary point of contact
    • That contact’s email address
  2. The email should come from a physician, practice manager, or practice administrator, and should state that you approve Weave integrating with Elation. For example:
“This is my written confirmation for Weave to integrate with Elation for patient engagement and scheduling.”
  3. Elation’s integrations team will contact your practice directly and guide you through the remaining validation steps.
Elation cannot turn on the integration without written approval from your practice. This protects your patients’ data by making sure only practices that have approved the connection are connected.

3. Connecting Weave to your Elation account

After Elation completes its setup steps, Elation securely sends the connection credentials to Weave, usually within 1–3 business days. From there, your assigned Weave technical specialist:
  1. Connects Weave to your Elation account and confirms the connection works.
  2. Works with your staff to choose which service locations display in Weave and how they are filtered.
  3. Loads your patients, providers, and upcoming appointments. This usually finishes within 1–2 hours.
  4. Asks you to check that your patients and schedule look correct in Weave.
  5. Tests calling, messaging, and confirmation writeback with you, then turns on your reminder and messaging workflows.
From first request to a live integration usually takes 3–7 business days.

Using Weave with Elation day to day

  • Keep scheduling in Elation. Book, reschedule, and cancel appointments in Elation as you do today. Weave picks up the changes about every 15 minutes.
  • Appointment reminders. Weave sends reminders for upcoming appointments on your Elation schedule. When a patient confirms, the appointment status updates in Elation. If a patient asks to cancel, your staff needs to cancel the appointment.
  • Call pop. When a patient calls, Weave shows their name and upcoming appointment so your staff can help them faster.
  • Review requests. Weave can send review requests to patients after their visit.
To set up reminder timing, message templates, and review workflows, see Weave’s Elation Health Integration Guide or contact Weave support.

Frequently asked questions

How much does Weave cost?

Weave pricing is set by Weave. Contact sales@getweave.com for pricing details. Weave offers month-to-month billing with no long-term contract.

I updated a patient’s phone number in Weave. Why didn’t it change in Elation?

Patient information syncs in one direction, from Elation to Weave. Make the change in the patient’s demographics in Elation, and Weave will update within about 15 minutes.

I rescheduled an appointment in Weave. Why didn’t it change in Elation?

Only confirmations and cancellations sync back to Elation. Reschedule the appointment in Elation, and Weave will update within about 15 minutes.

A patient replied to a reminder asking to cancel. Why is the appointment still on the Elation schedule?

Cancellation requests from patients don’t update Elation automatically. Cancel the appointment in Elation, or mark it Canceled in the Weave schedule, and the change will sync.

A patient confirmed through a Weave reminder, or your staff confirmed or cancelled in Weave, but Elation didn’t update. What should I do?

This should update in Elation. Contact Elation Support with the patient’s Elation ID, the appointment date and time, and when the confirmation or cancellation was made so the team can look into it.

I just added a new patient or appointment in Elation. How long until it shows in Weave?

New and updated patients and appointments appear in Weave within about 15 minutes.

I added a new provider, location, or appointment type in Elation. Why don’t I see it in Weave yet?

Providers, service locations, appointment types, and rooms refresh once a day. New ones will appear in Weave after the next daily refresh.

Will Weave see my patients’ clinical information?

The integration shares your practice, locations, providers, patients, and appointment schedule with Weave. The only thing Weave writes back to Elation is appointment confirmation and cancellation status.

My practice has more than one location. Can I choose which locations connect to Weave?

Yes. Weave supports practices with multiple offices. Tell Weave which locations you want included during setup, and they will set them up for you. Patients and appointments at locations that aren’t connected won’t appear in Weave. To add a location later, contact Weave Support.

My organization has more than one Elation practice. Can they all connect through one Weave setup?

No. Each Weave connection links to exactly one Elation practice. If your organization has more than one Elation practice, each one is set up as its own separate Weave connection.

Does Elation send changes to Weave instantly?

No. Weave checks Elation for new and updated patients and appointments every 15 minutes, so changes made in Elation can take up to 15 minutes to appear in Weave. Confirmations, and cancellations your staff make in the Weave schedule, update Elation in near real-time.

Some of our service locations are closed or no longer used. Should we include them?

No. When you set up which locations display in Weave, don’t select inactive or closed locations. Past data from those locations stays in Weave for your records.
