Non-Visit Note templates let care teams apply reusable, pre-built content to Non-Visit Notes. Templates reduce manual entry and support consistent documentation for high-volume, repeatable interactions that occur outside of a scheduled patient encounter.

What are Non-Visit Note templates?

Non-Visit Note templates are reusable content structures that you can apply to a Non-Visit Note draft. Template functionality in Non-Visit Notes works similarly to Legacy Visit Note templates. Non-Visit Notes are used to document interactions that occur outside of a scheduled encounter, such as phone calls, care coordination activities, and on-call line responses. Unlike Visit Notes, Non-Visit Notes:
  • Do not appear as billable encounters
  • Do not appear in regulatory encounter reports
Templates make this documentation faster and more consistent, especially for workflows like PACE on-call line documentation where every call must be recorded but should not be captured as an encounter.

Setup

To use Non-Visit Note templates, your practice must:
  • Use Non-Visit Notes in your workflow
  • Have templates configured for use in Non-Visit Notes

Open the Non-Visit Note template management window

  1. Open a patient’s chart.
  2. Start a new Non-Visit Note from the chart.
  3. In the Non-Visit Note draft, click the Templates button to open the template management window.

Create a Non-Visit Note template

  1. Open the template management window from within a Non-Visit Note draft.
  2. Click + New Template.
  3. Enter a name for the template.
  4. Add the content you want to reuse — structured text, prompts, or any documentation your team needs to capture consistently.
  5. Click Save.

Apply a template to a Non-Visit Note

You can apply one or multiple templates to a single Non-Visit Note. To apply a single template:
  1. Open the template management window from within a Non-Visit Note draft.
  2. Click Export to Note next to the template you want to apply.
To apply multiple templates at once:
  1. Open the template management window.
  2. Select the checkboxes next to each template you want to apply.
  3. Click Export All Selected to Note.
Applied template content is inserted into the Non-Visit Note draft and highlighted with a blue background so you can distinguish it from manually entered text.

View or edit a Non-Visit Note template

  1. Open the template management window from within a Non-Visit Note draft.
  2. Click the template name to open it.
  3. Make your edits and click Save.

Delete a Non-Visit Note template

  1. Open the template management window.
  2. Locate the template you want to remove.
  3. Click Delete next to the template.
  4. Confirm the deletion.

Can I use Non-Visit Note templates for PACE on-call documentation?

Yes. Non-Visit Notes are the recommended note type for documenting PACE on-call line interactions because they do not generate billable encounters or appear in regulatory encounter reports. Templates make it faster to capture these interactions consistently.
